announces January 2012 Release



January 16th , 2012 - Select’s press room was informed that Workbooks has released their latest version of Workbooks CRM last Saturday. This new release includes some much anticipated functionality, including Workflow and Automation features and Mailchimp integration. Below you can find more about the new functionality in this January 2012 release:

Workflow and Automation features

Workbooks CRM now includes features to automate common processes using a combination of the Process Manager and the existing Workbooks API. The new release includes the following functionality to support automation:

  • Scripts: The CRM system allows you to run custom scripts which are hosted in the Workbooks environment. Scripts are built using the Workbooks API and PHP and can be used to automate processes consisting of the same repeated actions such as updating fields on a record or creating new records. This new feature can automate pretty much any task in Workbooks.
  • Script Library: Your company will be able to install example scripts into your database which can be tailored to your business requirements. A set of example scripts will be published by Workbooks over the coming weeks.
  • Process Buttons: Process buttons allows users to run a script in the context of a specific record. A new button is added to the top of the record which can run one or more scripts.
  • A Scheduler: This feature enables your organisation to run Scripts on a defined schedule. e.g. hourly, daily, weekly, or Monday-Friday.

These features are not included in the free edition of Workbooks CRM.

Linking records

Workbooks has added the ability to create a new type of custom field which links one record to another, this is called a Dynamic Linked Item. This new field type looks like a pick list, but instead contains a list of records that already exists in the CRM application. Examples of where this functionality can be used include:

  • Adding a partner onto an Invoice. The invoice already contains the details of your end customer, but you could add a Partner field and pull through the relevant organisation record and contact details onto the Invoice.
  • Creating a primary contact on an opportunity. You could link a specific person and also populate their contact details such as email, phone number and address onto the main opportunity record.

The Dynamic Linked Item functionality can link any records in Workbooks CRM together to suit your business needs.

Improved status handling

Many records in Workbooks such as Opportunities, Activities and Cases have a status value. These values can already be customised. This is extended for some records so you can map each status to either an Open or Closed state as well.

You can now map each Opportunity Stage to either Open or Closed, for example. This simplifies views and reports, enabling you to run a report or create a view of all 'Open' opportunities without having to specifically include each Stage.

Improved security for products.

Products have been added to the existing security framework. This means you can restrict which products are available to users. Each product now has a 'padlock' in the existing Permissions model, so you can set the permissions using sharing policies.

Audit Extension

The Workbooks CRM software is now able to audit every change to a record. Using Audit you can see a history of who changed which record, including the specific 'before' and 'after' values of each field.

Audit can also be used to measure your performance against SLAs. For example an Audit report can be created which shows all cases which haven't been processed within a specific time period.

Integration between MailChimp and

Workbooks CRM


The Integration with MailChimp is now completed. This enables you to synchronise records between Workbooks CRM and MailChimp automatically. Within the campaign screen your marketing department can 'connect' a Workbooks campaign to MailChimp and all campaign members details will be synchronised with a MailChimp List. All MailChimp activity within Mailchimp can be viewed on a tab on the person or lead record.
